What each part means
From the top of the email to the bottom. Each number matches the numbered badge on the example.
Your logo and the count stamp

Your logo comes first, on a white plate. Free reports use the TicketCounts.io header instead. Next to it, or under it on narrow screens: when the count was taken, in the report's time zone, and the platform it came from.
The foil strip

Tickets sold
Sold: 412
Read from the ticketing platform when the report is sent: paid plus free admission tickets. Refunded and canceled tickets, add-ons and donations are not counted. If the platform does not return a count, no email goes out; a count is never guessed.
Change since the last report

Tickets sold since the previous report for this show, also in the subject line. The first report of a schedule has nothing to compare with, so it leaves the change out.
Sell-through against cap

Each admission ticket type with its tickets sold, and its cap when the platform sets one (Eventbrite). Platforms that do not return named ticket types (Universe) show paid and free totals instead, when a show has both.
What does the subject line say?
The event, the count and the change since the last report, so the number is readable from the inbox: “Marrow Creek · 412 sold (+38)”. The first report of a schedule leaves out the change. Test sends start with [TEST], so nobody mistakes one for a scheduled report.
The email comes from “Your organization via TicketCounts.io”, and replies go to the person who set up the report. Each recipient gets their own copy, so nobody sees the other addresses.
Where do the numbers come from?
From the ticketing platform, at the moment the report is sent. Nothing is estimated or copied from an older report: if the platform does not answer, no email goes out and the send is retried. Below is exactly what each platform’s count includes.
Eventbrite
- Paid tickets are admission ticket classes with a price above 0; free tickets are admission ticket classes with a price of 0.
- Add-ons and donations are not counted.
- Every page of ticket classes is read, so events with many ticket types are counted in full.
- The report lists each admission ticket class by name with its tickets sold, and its cap when Eventbrite sets one.
- If Eventbrite does not return a sold count, the report is not sent; counts are never guessed or shown as 0.
Universe (a Ticketmaster company)
- Paid tickets are rates with a price above 0; free tickets are rates with a price of 0.
- Add-on rates are not counted.
- Sold counts come from Universe's own per-rate sold count.
- Capacity is the sum of the rate capacities when every admission rate has one; otherwise it is left blank.
The plain-text version
Every report also carries a plain-text part for email clients that do not show HTML. This is the text of the example above, with its two links shortened: a real report’s “Stop these emails” link carries the recipient’s own token, and its footer link carries campaign tags.
