Ticket counts for booking agents

You don't need a TicketCounts.io account. Ask the promoter to schedule a TicketCounts.io report for your artist's show, and the count arrives in your inbox on the days and at the time you agree, straight from their Eventbrite or Universe account. Agents never pay.

Request flow

How do I get TicketCounts.io reports from a promoter?

Ask for them. The promoter connects Eventbrite or Universe to their own TicketCounts.io account, picks your show, adds your address and sets the schedule. From then on the count arrives on its own, and nobody has to remember to send it.

  1. Step 1: Send the request

Use the template below. Say which shows, who should get them, and when.
  2. Step 2: The promoter connects their ticketing

With their own Eventbrite or Universe login. You never need access to it.
  3. Step 3: They add you and set the schedule

One report per show: your address, the days, the time and your time zone.
  4. Step 4: The count arrives

Reply to any report to reach the promoter. Use the unsubscribe link at the bottom if you don't need it any more.

Templates

What should I send the promoter?

A short request that says which shows, who should get the counts, and when. There are two versions below: one for a single show, and one for every date the promoter has with your artist. Replace the words in brackets before you send it.

Template · Ask a promoter for automatic counts

Subject: Counts for [Artist] at [Venue]: could you schedule a report?

Hi [Promoter name],

Could you send me counts for [Artist] at [Venue] ([Show date]) automatically? If you sell on Eventbrite or Universe, TicketCounts.io can email me the count on a schedule, so you don't have to pull it.

Send to: [Your email] (and [Manager email])
When: daily at [Time] [Time zone]
Until: show day

Setup is in your own TicketCounts.io account: connect your ticketing account, pick the show, add my address and choose the schedule. The Free plan covers 1 show with up to 2 recipients.

Template · Ask for every date on a run

Subject: Counts for [Artist]: [Number] dates with you

Hi [Promoter name],

For the [Number] [Artist] dates you're promoting, could you set up one TicketCounts.io report per show, all sent to [Your email] at [Time] [Time zone]?

[Date 1] [City 1], [Venue 1]
[Date 2] [City 2], [Venue 2]

Each report covers one show. The Starter plan runs up to 10 reports at once.

Thanks,

What do I receive?

An email from the promoter's name via TicketCounts.io with the current count for one show: tickets sold, with the change since the last report and a breakdown by ticket type. It is your own copy, so other recipients' addresses are never shown. Reply to reach the promoter, or use the unsubscribe link at the bottom.

In every report

  • The event name and tickets sold, with a breakdown by ticket type (Eventbrite) or paid and free totals (Universe).
  • The change since the previous report, from the second report on.
  • The percent of capacity sold, when the platform reports the event's capacity.
  • You choose whether each report shows paid tickets, free tickets or both.
  • One copy per recipient, so nobody sees the other addresses.
  • Replies go to you, the account holder.
  • An unsubscribe link in every email, plus one-click unsubscribe in mail apps that support it.
  • Your logo on paid plans; the TicketCounts.io header on Free.

Compare

How does TicketCounts.io compare with agent-side count tools?

TicketCounts.io works from the promoter's side: the promoter pushes the count to you. Agent-side tools collect counts from many promoters and box offices for the agency. They solve different problems; here is when each one fits. Prices are as published by each company, with the date we checked them.

FAQ

Questions from booking agents

Do I need to pay or sign up?

No. Agents only receive the emails. The promoter runs the report from their own TicketCounts.io account; the Free plan covers 1 show with up to 2 recipients.

Can I reply to a report?

Yes. Replies go to the promoter's account email, so questions about a count reach the person who sent it.

Can one promoter send me several shows?

Yes. The promoter sets up one report per show. Each one has its own days, time and time zone, so you can get every date on a run at the same time.

Can I stop the emails?

Yes. Use the "Stop these emails" link at the bottom of any report, or your mail app's unsubscribe button.

What if the promoter doesn't sell on Eventbrite or Universe?

Then TicketCounts.io can't send their counts: those two are the only platforms it reads. The promoter can tell us which platform they sell on from the integrations page, and we email them once, if it goes live.
